We spent weeks shadowing catering managers to understand their actual daily workflows, discovering that most "order management" time was spent on coordination communication rather than decision-making. A typical bulk order triggered 15-20 phone calls: confirming kitchen capacity, assigning preparation tasks, scheduling driver pickup, updating customers on timing, and resolving issues when locations fell behind schedule.
Generic order management systems assume single-location fulfillment. Catering spans kitchens, so we architected around location-aware workflows where orders automatically split across multiple preparation sites based on capacity, specialty, and proximity.
Catering clients pay premium prices and expect reliability. We designed the dashboard to show not just "order confirmed" but granular status: items being prepped, estimated completion time, driver assigned, pickup scheduled, delivery in progress. The system generates shareable tracking links customers can monitor themselves, reducing "where's my order?" calls by 70%.
Manual driver dispatch meant calling contractors, confirming availability, texting pickup addresses, and following up on completion. We integrated delivery management where drivers receive automated pickup notifications with addresses, order details, and customer contact information.
Different stakeholders need different views: kitchen staff see preparation tasks, drivers see pickup schedules, managers see everything, customers see their orders. We implemented role-based dashboards that surface relevant information without overwhelming users with data they don't need.
